How to Add Page Numbers in Word for Essay
Overview
Adding page numbers in Microsoft Word is a fundamental requirement for academic formatting. This guide covers how to insert page numbers, align them according to MLA or APA standards, and manage different numbering for title pages. You will learn to use the Insert menu and Header & Footer tools to automate this process.
Step 1: Access the Insert Menu
Open your essay document in Microsoft Word. Navigate to the Insert tab located on the top navigation ribbon. This tab contains all elements that exist outside the main body text, including headers, footers, and page numbers. Ensure you are not in 'Read Mode' as you need the full editing ribbon to access these features. Click on the Page Number icon within the Header & Footer group. This will trigger a dropdown menu with several placement options.
Step 2: Select Position and Alignment
Choose the position based on your required citation style. For MLA and APA, select Top of Page. A sub-menu will appear showing different alignments. Choose Plain Number 3, which places the number in the top-right corner. If your instructor requires the number at the bottom, select Bottom of Page followed by Plain Number 2 for center alignment. Once selected, Word will automatically open the Header & Footer design mode, graying out your main essay text.
Step 3: Add Your Last Name (MLA Specific)
If you are following MLA style, you must include your last name before the page number. While the header is still active, click your cursor immediately to the left of the inserted number. Type your Last Name followed by a single space. Do not manually type the number itself, as this will cause the same number to appear on every page. By typing next to the gray-shaded field, Word maintains the automatic sequence (e.g., Smith 1, Smith 2).
Step 4: Format Font and Close
Page numbers must match the font of your essay text. Highlight the page number (and your name if applicable) within the header. Go to the Home tab and change the font to Times New Roman and the size to 12 pt. Many students forget this step, leaving the header in Word's default Calibri font. Once formatted, double-click anywhere in the main body of your essay or click Close Header and Footer in the ribbon to return to your writing.

Common Page Numbering Mistakes
Avoid these frequent errors to ensure your essay meets grading rubrics:
- Manual Typing: Never type the digit '1' manually in the header. This will result in every page being labeled '1'. Always use the Insert Page Number function.
- Font Mismatch: Word often defaults headers to Calibri 11pt. You must manually change this to match your essay font (usually Times New Roman 12pt).
- Incorrect Margins: Ensure your header is set to 0.5 inches from the top. Standard essay margins should be 1 inch all around, but the page number sits inside that margin.
- Title Page Numbers: For APA, the title page is page 1. For some Chicago style papers, the title page has no number. Use the Different First Page setting to hide the number on page one if necessary.
