Citing PDFs in APA Style

To cite a PDF in APA 7th edition, format the reference based on the original source type (e.g., report, journal article, or book). Include the author, publication year, title in italics, and the URL or DOI. For in-text citations, use the author's last name and year.

Step 1: Identify the original source type

Before writing your citation, determine what kind of document the PDF is. APA does not have a single format for 'PDFs' because a PDF is simply a file format, not a source type. Identify if the document is a peer-reviewed journal article, a government report, a white paper, or an ebook. If the PDF is a digital copy of a printed book, cite it as a book. If it is a report from an organization, cite it as a report. Treating the PDF as its underlying source type ensures your Reference List remains accurate and professional.

Step 2: Collect the required bibliographic information

Search the first few pages of the PDF to find the necessary metadata. Locate the names of the individual authors or the name of the organization (corporate author). Find the year of publication, which is usually on the title page or the copyright page. Copy the full title of the document exactly as it appears. Finally, record the DOI (Digital Object Identifier) if available; if not, use the direct URL where the PDF can be downloaded. Having these four elements (Who, When, What, and Where) is essential for any APA citation.

Step 3: Format the Reference List entry

Arrange your collected data into the standard APA structure. Start with the author's last name followed by initials. Place the year in parentheses. Write the title of the PDF in sentence case and italics. If the source is a report, list the publisher or organization name after the title. End the entry with the DOI or URL. Do not put a period after the URL or DOI, as this can interfere with live links in digital papers. Ensure the second and subsequent lines of the entry have a hanging indent of 0.5 inches.

Step 4: Create the in-text citation

Link your essay text to your Reference List using in-text citations. Use the author's last name and the year of publication. For parenthetical citations, place both elements inside parentheses at the end of the sentence. For narrative citations, incorporate the author's name into the sentence and place the year in parentheses immediately after. If you are quoting directly from the PDF, you must also include a page number (e.g., p. 12) or a paragraph number (e.g., para. 5) to guide the reader to the specific evidence.

Common PDF Citation Mistakes to Avoid

  1. Citing the PDF reader link: Avoid using URLs that look like C:/Users/Downloads/document.pdf. Always use the stable web URL or DOI where the file is hosted.
  2. Including [PDF] in the title: APA 7th edition has removed the requirement to label the format as [PDF] unless the document is part of a specialized collection.
  3. Missing the organizational author: If an individual person isn't listed, do not use 'Anonymous.' Use the name of the company, government agency, or NGO that published the document.
  4. Incorrect capitalization: Remember that APA titles use sentence case - capitalize only the first word of the title, the first word of the subtitle, and proper nouns.
